Editing Accounting information

There are six pages accessible when editing accounting information. Five are editing pages and the last is an approval page.

Accountant page

Accountant is an editable page that can be navigated to by clicking the Edit button and using the Accountant link. The link resides under the Accounting section. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There are 7 fields:

  • First Name - Required to be completed before sign-offs.

  • Last Name - Required to be completed before sign-offs.

  • Email - The email address will be validated as the proper format, but it is highly recommended that it be copied and pasted from an email to ensure it is the correct address. It must be completed before sign-offs.

  • Work Phone - Phone number format will be validated.

  • Work Ext - Up to 5 digits for an optional phone extension.

  • Mobile Phone - Phone number format will be validated.

  • Notes - Up to 512 characters of free form text.

Sites page

Sites is an editable page that can be navigated to by clicking the Edit button and using the Sites link. The link resides under the Accounting section. The page contains the following help text visible to the user Manage site branches below.. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There is 1 element presented to the user. The element is a grid containing Sites with the following columns:

  • Name - Required before saving, must be unique between records.

  • Address 1 - Required before sign-offs.

  • Address 2 - Optional additional address information..

  • City - Required before sign-offs.

  • State - Required before sign-offs.

  • Zip - Required before sign-offs.

  • Country - Optional.

  • Phone - Will be validated for proper format.

  • Fax - Will be validated for proper format.

  • Notes - Optional free form text.

Finally, the grid can be edited simply by clicking on the desired cell.

Site Attributes page

Site Attributes is an editable page that can be navigated to by clicking the Edit button and using the Site Attributes link. The link resides under the Accounting section. The page contains the following help text visible to the user Indicate the following attributes for the sites created.. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There are 3 elements presented to the user. Those elements include:

  • Primary Site a choice between one of the sites added by the user, must be completed before sign-offs.

  • Bill to Site a choice between one of the sites added by the user, must be completed before sign-offs.

  • Ship to Site a choice between one of the sites added by the user, must be completed before sign-offs.

Personnel page

Personnel is an editable page that can be navigated to by clicking the Edit button and using the Personnel link. The link resides under the Accounting section. The page contains the following help text visible to the user Manage personnel below.. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There is 1 element presented to the user. The element is a grid containing Contacts with the following columns:

  • First Name - Required to be completed before sign-offs.

  • Last Name - Required to be completed before sign-offs.

  • Email - The email address will be validated as the proper format, but it is highly recommended that it be copied and pasted from an email to ensure it is the correct address. It must be completed before sign-offs.

  • Title - Optional.

  • Phone - Will be validated for proper format.

  • Ext - Optional phone extension.

  • Branch Office a choice between one of the sites added by the user, must be completed before sign-offs.

  • Notes - Optional free form text.

Finally, the grid can be edited simply by clicking on the desired cell.

Exiting MSP page

Exiting (current) MSP is an editable page that can be navigated to by clicking the Edit button and using the Exiting MSP link. The link resides under the Accounting section. The page contains the following help text visible to the user Managed Service Provider. This would be the contact our IT will work with to transition your services over to ours. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There are 7 elements presented to the user. Those elements include:

  • First Name - Required to be completed before sign-offs.

  • Last Name - Required to be completed before sign-offs.

  • Email - The email address will be validated as the proper format, but it is highly recommended that it be copied and pasted from an email to ensure it is the correct address. It must be completed before sign-offs.

  • Work Phone - Will be validated for proper format.

  • Work Ext - Optional phone extension.

  • Mobile Phone - Will be validated for proper format.

  • Notes - Optional free form text.

On the navigation bar, the Approval icon will take you to Accounting Approval.

Accounting Approval

Approval is also an editable page that can be navigated to by clicking the Edit button and using the Approval link. The link resides under the Accounting section. The page is visible to users with one of the following roles: Administrator, Manager, Onboarding Engineer, Accountant. There is 1 element presented to the user. The element is a component used for the approval process. The component marks the end of the Accounting section. All pages in the section must be completed before the approval process for the section can be initiated. If a user with the Accountant role initiates the request, the record must go through a review process before it can be approved. A user with one of the following roles: Administrator, Manager, Onboarding Engineer is responsible for reviewing and approving the data. If the data is found to have issues, it will be sent back to the user with the Accountant role for correction. Finally, if the request was initiated by an approver, the review process is bypassed and the section is immediately approved.
